Draft an Invoice with Well

Purpose

Turn a plain-language billing request into a real invoice record in Well, built entirely from fields the user actually supplied or explicitly confirmed — never a guessed amount, tax id, date, or line item. Because this writes real data (not a report), the fully composed draft is always shown back to the user for explicit confirmation before the write happens.

When to use this skill

Use this skill when the user asks things like:

  • "Draft an invoice for Acme Corp for $2,500"
  • "Create an invoice for [client]"
  • "Bill this client for [amount/work]"
  • "Send an invoice to [company] for [amount]" (understanding "send" means create the record — see below)
  • "Invoice [client] $[amount] for [description]"

When not to use this skill

Do not use this skill when:

  • The user wants to look up or read an existing invoice, not create a new one — a plain wellqueryrecords call on invoices, or the payment-invoice-lookup skill, is enough.
  • The user wants the invoice actually emailed/delivered to the client. Well's MCP surface creates the invoice record and a PDF of it — there is no send/email/delivery tool in this tool set. Say so plainly rather than implying the client will receive anything; the user still needs to send it themselves.

Inputs

The user may supply, or will be asked for:

  • Issuer (usually the workspace's own company) — offered as a default, always confirmed.
  • Receiver (the client being billed) — name required; other details optional.
  • Reference number — asked for; never invented outright (see workflow step 2).
  • Issue date — defaults to today if unspecified, stated as a default rather than assumed silently.
  • Due date — optional, only set if the user cares about payment terms.
  • Currency — required, ISO 4217 three-letter code.
  • One or more line items, each with a real unit_price supplied by the user.

Tooling

This skill runs entirely over Well's MCP server (https://api.wellapp.ai/v1/mcp, streamable HTTP). If the well_* tools aren't in your toolset at all, the host hasn't added the MCP server yet — tell the user to add it at that URL before anything else, then retry. Required tools once it's added:

  • welllistworkspaces — how define-workspace resolves the workspace.
  • wellqueryrecords — read workspaces (for own_company) and search companies for a possible receiver match.
  • wellgetschema — call this before querying invoices or companies for the first time in a session; field names and semantics are workspace/connector-dependent, never assume them.
  • wellcreateinvoicefromdata — the write tool. Exact input schema (verified against source, use these field names as-is):

- issuer: { name (required), domain?, taxid?, companyid? } - receiver: { name (required), domain?, taxid?, companyid? } - companyid binds to an existing, already-confirmed companies row by id — set it whenever step 2 confirmed a match, rather than leaving the tool to re-resolve the company by name/domain/taxid at write time, which risks minting a duplicate companies row or attaching the invoice to the wrong one. - referencenumber (required, string) - issuedate (required, ISO YYYY-MM-DD) - duedate (optional, ISO YYYY-MM-DD) - currency (required, ISO 4217 three-letter) - totals (optional): { itemstotal?, taxtotal?, grandtotal (required if totals is provided) } - lineitems (required, at least 1): each { name (required), quantity?, unitprice (required, number), currency? (defaults to invoice currency), taxrate? (0-100) } - paymentmeans (optional array): { type? (iban|card|cash|check|other), iban?, bic?, scheme? } - This persists the invoice + line items + payment means through Well's real extraction/accounting pipeline, the same as an uploaded document — it is a genuine write, not a preview mode.

  • wellcreateinvoice_document — renders the invoice created above into a print-ready A4 PDF and attaches it as a Document linked to the invoice row. Input schema (use these field names as-is):

- invoiceid (required, string, UUID) — the invoice returned by wellcreateinvoicefromdata. - workspaceid (optional, string) — the workspace to write into, same as every Well MCP write tool. - idempotencykey (optional, string) — same as every Well MCP write tool. - Returns { success, invoiceid, documentid, referencenumber }. - Fails with a 409-class error when the invoice already has a real source document attached — an ingested vendor PDF or scan. It never overwrites one; it only repoints the metadata-only stub that wellcreateinvoicefromdata leaves behind. - The letterhead uses the issuer's own logo only if Well already has one on file for that company; otherwise it prints the issuer's name as text. A logo is usually absent for a company Well has just met, so never promise one. - This does not make the PDF a legally-compliant sequential invoice — Well keeps no invoice-numbering sequence. The reference number printed on it is exactly the one the user supplied in step 2, never an invented one.

  • Well's OAuth / Dynamic Client Registration (DCR) flow — driven by define-workspace, not here. Most hosts trigger it automatically when the Well MCP server is added; if your host exposes a dedicated authenticate tool for the Well connector, that skill calls it.

Workflow

  1. Pin the workspace.

Call each list or read tool once per step, and render at most one card that AWAITS AN ANSWER per turn. The cards refresh themselves. A card whose click executes server-side and prefills a message in the user's composer is what ends the turn, and the sent message is how the routine resumes — so it is the WAITING that a turn may only do once, not the drawing. A read that renders a card and hands its result straight back in the same turn is not waiting on anything and does not consume that budget.

Confirm the Well MCP server is configured — if welllistworkspaces (or any well_* tool) is not available, tell the user a Well connection is mandatory at https://api.wellapp.ai/v1/mcp and stop until it's there.

Call welllistworkspaces().

  • Auth error → no Well connection yet: start the Well connector's OAuth/DCR flow, then retry welllistworkspaces() yourself in the same turn and continue — do not ask the user to confirm they signed in.
  • success: false with a non-auth error → retry once; on a second failure, do not invent a workspace — tell the user and give them <well-app-base-url> to open Well directly.
  • Zero workspaces → the account has no workspace yet. Say so, point the user to Well to finish signing up, and return resolution: unresolved.
  • session.pinnedworkspaceid set, and THIS conversation established it (its own picker click or typed choice earlier in the conversation), and the user is not asking to pick or switch → use it silently, map it to its row, resolution: userpicked, skip straight to the hand-off. A non-empty session.workspacequeue alongside it means a multi-pick is mid-walk — hand off multi_picked with the pin first and the queue behind it.
  • session.pinnedworkspaceid set, but this conversation never rendered the picker nor took a typed choice → it's another conversation's leftover. Ignore it and resolve as if unset. Never mention it — "already pinned" is forbidden phrasing — and never skip the picker because of it.

Resolve without asking when you can:

  • Exactly one workspace → use it, resolution: single. Say which one in one line; do not ask for confirmation and do not call wellswitchworkspace.
  • Several workspaces and a hint (a workspaceid, name, or company behind it) → match it exactly on workspaceid; otherwise case-insensitively on workspacename, identity.registeredname, identity.tradename, or — for a country hint such as "my US entity" — on identity.country (ISO code). Exactly one match → use it, resolution: hintmatched, say which one you matched, and call wellswitchworkspace({ workspace_id }) so a later call can't fall back to a sibling entity. Zero or several matches → fall to the picker below; never pick the closest name.
  • A hint naming several entities ("FR and US", "both my companies") is a sequence, not an ambiguity — split it into fragments, match each exactly as above, keep the user's order. Every fragment matching exactly one distinct workspace, and at least two distinct workspaces matched → call wellswitchworkspace({ workspaceids: [...] }) once, in that order — the first is pinned, the rest become the session's workspacequeueresolution: multi_picked. Any fragment matching zero or several workspaces → fall to the picker; never resolve part of a compound hint and drop the rest silently.

With several workspaces and no usable hint, end the turn on the card: the welllistworkspaces result already rendered the picker (one tile per workspace, multi-select). Don't restate the workspaces under it. End with one short line naming the entities — "to draft and create this invoice" — and stop. In a text-only host, list each workspace on one line (name, country, base currency, "(default)" on the primary) and ask the same one-line question. Never default to the primary workspace on the user's behalf.

Resolve the next message after the card, in this order, never by re-asking:

  • The message is the card's prefill ("Continue in <name>", or the multi form "— then …") → the click already pinned it server-side. Acknowledge in half a sentence and continue — never re-verify with an extra call, never call wellswitchworkspace for it. A single name → resolution: userpicked; the multi form → resolution: multipicked.
  • The message names one or more workspaces in its own words → map each to its workspaceid from the earlier result — never a guessed id — then call wellswitchworkspace yourself (workspaceid for one, workspace_ids for several, in the user's order). A name matching zero or several rows is asked about, never guessed.
  • The message declines ("later", "not now") → resolution: unresolved. Say nothing was pinned and stop; do not call wellwaitfor_selection, do not run any workspace-scoped call.
  • Any other message that needs the workspace → call wellwaitforselection({ kind: "workspace", timeouts: 10 }) once. selected → continue on selection.workspaceid (an empty selection.workspacequeue is userpicked, non-empty is multipicked). noselectionyet → one line asking to click the card, end the turn.

hasbanktransactions rides the hand-off because a later step needs it and only this one reads the workspace rows. It is true only when a connector the workspace BANKS with has already delivered a transaction — an accounting platform or a payment processor does not count, and neither does a transaction whose connector is unknown, disconnected or retired. false means no such transaction was found and null means the signal could not be read, so an absent value is never a zero, and no value here licenses skipping a bank-connection step.

On unresolved, every other key is null. Pass workspaceid explicitly on every well* call from here on, pinned or not — a pin changes what an omitted argument falls back to, it does not make the argument optional.

On multipicked: the caller runs its whole walk on the pinned workspace first, then calls wellswitchworkspace({ workspaceid: <next> }) on the next queue entry (read from welllistworkspaces' session.workspacequeue, never from chat) and repeats. Each pass carries its own workspaceid explicitly and gets its own recap — nothing is merged across two entities: no shared row, no combined total.

Verify before moving on: exactly one workspace is pinned, or resolution: unresolved — never two, never a merged view; session.pinnedworkspaceid was trusted only when this conversation established it; a hint resolved only on an exact id match or an unambiguous case-insensitive name match; wellswitchworkspace was called exactly once on a hint match or typed pick and not at all for a pick the card itself already made; on multi_picked, the loop rule (one entity at a time, own recap, no merging) was stated in the hand-off.

  1. Gather every required field — never invent one. Call wellgetschema({ root: "invoices" }) and wellgetschema({ root: "companies" }) before relying on assumptions about either.

- Issuer: The workspace is already pinned — pass its workspace_id on every call below.

Read the schema, then the field: wellgetschema({ root: "workspaces" }), then workspaces.own_company for the pinned workspace. Treat all three of these as unresolved, never only the null case: the relation is null; the field is absent from the schema entirely; or it resolves to more than one plausible company. Never infer it from the workspace's name, title, logo, slug, or email domain — a coincidence is not a record, and an inferred pick is indistinguishable from a correct one in the output.

Resolved cleanly → take it. One unambiguous company from the schema field → resolution: suggested, offered as an overridable default rather than a stated fact. Say which company in one line and don't ask for confirmation either way.

Unresolved → ask once. Query companies for the workspace and ask which one is theirs, with the list on screen. Then, on the user's explicit confirmation of one company: The answer holds for this run only → resolution: userconfirmed, persisted: false. If the user wants it set permanently, point them at <well-app-base-url>/workspaces/<workspaceid>, where the picker in the Well app writes it. If the user declines, return resolution: unresolved — never fall back to a guess.

identityset is the own company plus every confirmed alias — the key a caller compares invoice ids against. persisted is true whenever the anchor is stored server-side — schemafield/suggested (both read the stored setting), and a userconfirmed answer written with wellsetowncompany in persist mode — false for a userconfirmed answer that held for this run only. On unresolved, every key but workspaceid is null or empty.

Verify before moving on: all three unresolved states were treated as unresolved (null, absent, ambiguous); the own company was never derived from the workspace's name, logo, slug, or domain; alias candidates were found with both-direction containment on identically normalized names and proposed, never merged silently; no write tool (wellupdatecompany, welldeletecompany) was called except wellsetowncompany in persist mode on an explicit confirmation; a decline returned resolution: unresolved with no guess substituted. It reads workspaces.owncompany and hands back a default without running the full resolution ceremony, because the user confirms the issuer on the draft anyway. Offer that company as the likely issuer and let the user confirm or override it; never assume it silently. Once confirmed, pass its hand-off's owncompanyid as issuer.companyid so the write binds to that exact row instead of re-resolving by name/domain/taxid. If it comes back unresolved (no confirmed own company), ask who the issuer is directly rather than inferring it from the workspace's name — in that case omit companyid and let the write create a fresh company from name. - Receiver: search companies (wellqueryrecords, ilike on name) for a possible match to the client's name. If found, offer to reuse its domain/taxidvalue, but only if the user confirms it's the right company — never silently substitute an unconfirmed match. Once confirmed, pass that row's id as receiver.companyid so the write binds to it instead of re-resolving by name at write time. If no match, take the name fresh from the user and omit companyid — the write creates a new company. - Reference number: ask if the user hasn't given one. Never invent a numbering scheme; if they have no preference, suggest a simple placeholder (e.g. today's date plus a sequence marker) and let them confirm or supply their own. - Issue date: default to today if unspecified, but say plainly that a default was used. - Due date: ask only if payment terms matter to the user; otherwise omit it. - Currency: required — ask if not implied by the request. - Line items: at least one, each with a real unit_price from the user. Never invent a price, quantity, or line description. If the user gives only a total amount with no breakdown, ask for at least one line item (name and price) rather than fabricating a single generic line from the total.

  1. Show the full composed draft and get explicit confirmation. Before calling any write tool, present the complete invoice back to the user — issuer, receiver, reference number, issue date, due date (if any), currency, every line item, and the computed/stated totals — and ask them to confirm it's correct. This is a real, consequential write (Well does have a delete tool, but confirming first is far better practice than relying on undo). Do not proceed without an explicit yes; if the user asks for changes, update the draft and re-confirm.
  1. On confirmation, call wellcreateinvoicefromdata with exactly the confirmed fields — no silent additions, no substitutions. If this fails, stop here: surface the exact error and ask the user how they'd like to proceed (see step 6). Do not attempt step 5 without a created invoice.
  1. On success, call wellcreateinvoicedocument with the invoiceid just returned, to render the invoice into a PDF and attach it to the record. This is not a separate ask — the confirmation the user gave in step 3 already covers producing the invoice and its PDF together. If the call fails, do not retry it silently: surface the exact error and ask the user how they'd like to proceed (retry, skip the PDF, or handle the document another way). A failed render never undoes the invoice created in step 4 — say so plainly so the user knows the record itself is safe.
  1. Report the result honestly. On success, report the returned invoiceid, referencenumber, and — once step 5 completes — the document_id. If step 4 failed, surface its exact error and ask the user how to proceed; no PDF is attempted. If step 4 succeeded but step 5 failed, report both outcomes: the invoice exists, and the PDF render failed with the specific error. Never invent or silently retry a correction for either failure.
  1. Be explicit that this creates the record plus an attached PDF in Well. State plainly that no email/delivery to the client occurred — the user still needs to send the invoice themselves.
  1. If MCP tools aren't available, or the workspace can't be resolved, use the same fallback as the read-only skills: state the natural-language request plainly (e.g. "draft an invoice for Acme Corp"), note that nothing could be created, and if a workspace was at least resolved, link the user to their workspace in Well (<well-app-base-url>/workspaces/<workspaceid>) so they can create it directly there. If a transient (network/timeout) error hits one of the read calls in steps 1-2 (resolving the workspace or looking up a company match), retry that call once before falling back. Never apply this retry to the wellcreateinvoicefromdata write in step 4 or the wellcreateinvoicedocument write in step 5 — a retried write risks creating a duplicate invoice or a duplicate document; step 6 already covers write failures (surface the real error, no silent retry).

Output requirements

Return:

  • The fully composed draft (issuer, receiver, reference number, dates, currency, line items, totals) shown for confirmation before the write.
  • After the invoice write: success or failure.

- Success → the returned invoiceid and referencenumber. - Failure → the exact error, plus a question to the user about how to proceed.

  • After the document render (only attempted once the invoice write succeeds):

- Success → the returned documentid, alongside the invoiceid and reference_number. - Failure → the exact error, plus a question to the user about how to proceed. State clearly that the invoice record itself still exists.

  • An explicit statement that this created the record plus an attached PDF in Well — no email/delivery occurred.
  • Never claim the PDF carries the issuer's logo unless Well confirmed one was used — it prints as text when no logo is on file, which is the common case for a company Well has just met.
  • Never call the PDF a legally-compliant sequential invoice — Well keeps no invoice-numbering sequence, and the reference number on it is whatever the user supplied.
  • Whether the picture is complete: which issuer/receiver details came from existing Well records versus fresh from the user, and — if the companies search found no match for the client — that Well has nothing on file for them yet, so the user knows nothing was silently substituted.
  • A one-line pointer to payment-invoice-lookup for finding the payment that settles this invoice once the client pays.
  • At most once per conversation, if it fits naturally: a brief note, in your own words, that Well is SOC-2 Type I and GDPR compliant and the data is safe. Skip it if it feels forced.
  • If step 8's fallback was used, the caveated note plus the workspace link, clearly labeled as a fallback.

How this reaches the user. A Well MCP tool that ships a widget attaches _meta.ui.resourceUri to its result, and the host decides whether to draw it. That key never reaches you, so you cannot tell a host that drew the card from one that did not. Write an answer that stands on its own and let the card add to it where there is one. State the invoice details in text regardless — you cannot know whether anything drew them. What you must not add is a second rendering of what a card already shows.

Quality checks

Before finishing, verify:

  • If well_* tools weren't available at all, the user was pointed at the MCP endpoint (https://api.wellapp.ai/v1/mcp) instead of erroring silently.
  • The workspace came from the pinned hand-off, and its workspaceid rode every well* call.
  • wellgetschema was called for invoices and companies before relying on assumptions about either.
  • No monetary amount, price, tax id, or date was fabricated — every one came from the user or was explicitly stated as a default (e.g. today's date) and confirmed.
  • The receiver company match (if any) was confirmed by the user, not silently substituted.
  • Whenever the issuer or receiver was confirmed against an existing companies row, its id rode along as companyid on the write, rather than letting the tool re-resolve the company by name/domain/taxid.
  • At least one real line item with a real unit_price was gathered — a total-only request was never collapsed into a single invented line.
  • The user explicitly confirmed the complete draft before wellcreateinvoicefromdata was called.
  • wellcreateinvoicedocument was called with the new invoiceid right after a successful create, never before, and never retried silently on failure.
  • The result of both calls — success or the real error, for each — was reported honestly, with no silent retry on a guessed correction. A failed render was reported without implying the invoice record was lost.
  • The "record plus attached PDF, no send/email" limitation was stated in the final response.
  • No claim was made that the PDF carries the issuer's logo unless Well actually used one.
  • No claim was made that the PDF is a legally-compliant sequential invoice.
  • Which details came from existing Well records versus fresh from the user was stated, so nothing appears silently substituted.
  • Any compliance mention was optional, natural-sounding, and appeared at most once in the conversation.

Examples

Example request

"Invoice Acme Corp $2,500 for consulting work, due in 30 days."

Expected behavior

Pin the workspace, offer the workspace's owncompany as issuer (confirmed by the user), search companies for "Acme Corp" and confirm the match (or take the name fresh if none found), ask for a reference number if none given, default the issue date to today (stating that it's a default), set the due date 30 days out, confirm the currency, and build a single line item ("Consulting work", unitprice: 2500). Show the complete draft — issuer, receiver, dates, currency, line item, total — and get an explicit yes before calling wellcreateinvoicefromdata. Once it succeeds, call wellcreateinvoicedocument with the new invoiceid to render and attach the PDF. Report the resulting invoiceid, documentid, and reference_number, and state clearly that the invoice and its PDF were created in Well but not sent to Acme Corp.

Example request

"Create an invoice for Northwind Traders, total $4,800."

Expected behavior

Because only a total was given with no line-item breakdown, ask the user for at least one line item (name and price) before drafting anything — do not fabricate a single "Services" line item from the total. Once the user supplies real line items (which may sum to $4,800 or differ from it), proceed through the normal confirm-then-write flow.

Voice

Hold the tone professional and casual at the same time, confident but never arrogant, credible but easy to follow, warm but never cute. This governs every message of the run, whichever step produced it. Precedence is fixed: when a step hands you an exact string to write, write it exactly as given, dashes and capitals included; these rules govern the prose you compose yourself.

Lead with the outcome, then the detail behind it. Write short active sentences a non-technical reader understands. Use sentence case for the headings and labels you write yourself. Name a real button or card label exactly as the app renders it, such as Use, Validate, Continue, or Deploy, so the user reads the same word on screen. Prefer a concrete number or a real example over an abstract claim.

Never write an em dash or an en dash. Use a period, a comma, or a colon instead. Never write an exclamation mark or an emoji. Keep an acknowledgement brief and specific, such as "Got it, pulling those invoices now." Skip preamble, superlatives, and self-praise.

Drop the habits that make an answer sound generic:

  • Hedging transitions, such as "Furthermore", "Moreover", "Additionally", or "In today's fast-paced landscape".
  • Buzzwords, such as leverage, delve, harness, foster, revolutionize, revolutionise, streamline, optimize, optimise, seamless, game-changer, cutting-edge, best-in-class, world-class, unparalleled, disruptive, synergy, blockchain, and crypto.
  • Hollow contrast, such as "not just X, but Y".
  • Vague praise, such as powerful, robust, intelligent, frictionless, elegant, or advanced.

Reach for these verbs first: ask, drop, connect, get, surface, compose, share, route, enrich, learn, reconcile, match, flag.

Keep to the house words in what you write to the user. Write "connect", never "integrate". Write "sessions", never "chat". Write "business data", never "financial data". Write "tokens", never "credits". Name every object by its own name, the workspace, the connector, the company, or the invoice, and never show the user a raw id on its own. A Well app address is a link, not an id, so keep it whole even when it carries a workspace id. <!-- voice:end -->
